Junior Administrative Manager

What You’ll Do
- Orchestrate daily office workflows—calendars, travel plans, and meeting logistics.
- Maintain digital and physical records, guaranteeing audit-ready accuracy.
- Monitor inventory, place purchase requests, and reconcile invoices.
- Compile data sets for management dashboards using Excel formulas and pivot tables.
- Triage email and phone inquiries, resolving 80 % on first touch.
- Draft agendas, minutes, and follow-up actions to keep projects on track.
- Partner with HR and IT to onboard new hires, ensuring equipment and access on day one.
- Coordinate on-site and virtual events that energize teams and strengthen culture.
- Identify process bottlenecks, propose automation or template solutions, and present results.
- Uphold confidentiality standards aligned with HIPAA, SOX, and GDPR where applicable.
What We Expect
- Bachelor’s degree in Business Administration, Information Systems, or similar.
- 0-2 years’ experience in clerical, operations, or customer-facing roles.
- Proficiency with Microsoft 365 (Word, Excel, PowerPoint, Outlook)—you can craft VLOOKUPs in your sleep.
- Familiarity with collaboration suites such as Google Workspace, Slack, and Trello.
- Native-level English writing; clear, confident oral communication.
- Eagle-eye attention to detail balanced with pragmatic prioritization.
- Proven time-management skills—juggle competing deadlines without breaking a sweat.
- Service mindset: you anticipate needs rather than react.
- Eligibility to work in the United States.
- Bonus points for experience with Power BI, QuickBooks, or basic SQL queries.
