Junior Staff Assistant

What You Will Do
- Triage incoming calls, emails, and basic inquiries, routing issues to the correct stakeholders.
- Enter, validate, and update records in cloud databases and Excel worksheets.
- File digital and paper documents, tagging metadata for rapid retrieval.
- Schedule meetings, workshops, and virtual events—manage calendars across multiple time zones.
- Track office supplies and submit replenishment requests before shortages occur.
- Open, sort, and scan physical mail, then assign items to electronic queues.
- Build simple reports that summarize weekly task completion and outstanding actions.
- Support small projects: gather requirements, draft agendas, monitor deadlines.
- Spot process bottlenecks and recommend incremental improvements.
- Deliver friendly, efficient customer service to internal teams and external partners.
Core Skills & Qualifications
- Bachelor’s degree in Business, Information Systems, Communications, or related field.
- Proficient with Microsoft Office 365 - Word, Excel (pivot tables, VLOOKUP), Outlook, Teams.
- 40+ WPM typing speed with high accuracy; comfortable with data entry software.
- Keen organization and time-management abilities-you juggle parallel priorities without missing details.
- Clear verbal and written communication; you translate technical jargon into plain English.
- Collaborative mindset; you welcome feedback and share knowledge freely.
