Core Responsibilities
- Serve as the primary point of contact, greeting all visitors with exceptional professionalism and warmth, ensuring they feel welcomed and are directed appropriately.
- Manage a multi-line phone system with poise and efficiency, screening and forwarding calls, addressing inquiries, and conveying detailed, accurate messages.
- Master the art of calendar management by coordinating appointments, scheduling meetings, and booking conference rooms for multiple executives and teams, using modern scheduling software to prevent conflicts.
- Oversee all incoming and outgoing mail and courier services—this includes sorting, distributing, and preparing shipments with meticulous attention to detail.
- Perform precise and timely data entry into customer relationship management (CRM) systems and internal databases, upholding the integrity and confidentiality of all information.
- Maintain the reception area and common office spaces, ensuring they are always pristine, organized, and fully stocked with necessary supplies.
- Provide foundational administrative support to various departments as needed, which may include document preparation, filing (both digital and physical), and assisting with special projects.
- Act as a knowledgeable resource for both internal staff and external callers, confidently addressing inquiries about the company and its operations.
Key Qualifications & Skills for Success
- A high school diploma is required; an Associate's or Bachelor's degree in Business Administration or a related field is a significant plus.
- Proven experience in a customer-facing role (e.g., retail, hospitality, or customer service) is highly desirable.
- Exceptional interpersonal and communication skills—you must be articulate, poised, and capable of building rapport with diverse personalities.
- Unwavering organizational and time-management abilities; you can juggle multiple priorities simultaneously without compromising quality or attention to detail.
