Your Impact and Responsibilities
- Provide essential administrative and logistical support across a portfolio of program activities.
- Manage and coordinate complex schedules, high-level meetings, and virtual or in-person events using modern digital calendars and platforms.
- Serve as a primary point of contact, professionally handling internal and external correspondence and inquiries via email, phone, and messaging applications.
- Ensure data integrity by accurately entering, updating, and maintaining critical information within our program databases and CRM systems.
- Organize and maintain a systematic digital filing system for all program-related records and documents, ensuring information is both accessible and secure.
- Assist program managers with the preparation of reports, presentations, and other materials for stakeholders (this includes light research and data compilation).
- Coordinate project logistics, which may involve anything from arranging travel to ensuring materials are available for team-wide training sessions.
- Collaborate closely with staff across various departments, fostering a cooperative environment and ensuring seamless communication flows.
- Proactively identify opportunities for process improvement within the program's administrative functions, suggesting and helping implement more efficient workflows.
Qualifications for Success
- A Bachelor's degree from an accredited U.S. institution is required.
- Exceptional organizational and time-management skills, with a proven ability to manage multiple competing priorities without sacrificing attention to detail.
- Superb written and verbal communication skills; you can convey information clearly, concisely, and professionally to diverse audiences.
- High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace (Docs, Sheets, Slides, Gmail).
