Junior Office Manager Assistant
A multidisciplinary group of developers, analysts, and product strategists depends on a well-run workspace to innovate without friction. You help maintain that productive flow by coordinating schedules, guiding vendors, and safeguarding documentation integrity.
Daily Responsibilities
- Orchestrate complex calendars, reserve conference rooms, and confirm appointments.
- Track inventory, order supplies, and reconcile delivery invoices.
- Perform data entry in Excel and cloud databases, double-checking figures for precision.
- File digital and physical records, labeling folders for rapid retrieval.
- Draft, proofread, and route correspondence—emails, memos, meeting minutes.
- Greet visitors and answer multiline phones, triaging inquiries to the proper contact.
- Generate weekly activity reports highlighting workflow bottlenecks.
- Partner with remote staff to coordinate virtual meetings and shared resources.
- Uphold confidentiality around financial and personnel documents.
- Suggest process tweaks that elevate efficiency and reduce manual effort.
Required Qualifications
- Bachelor’s degree in Business, Information Systems, or related field.
- 0–2 years of administrative experience—internships count.
- Advanced Microsoft Office skill set (Outlook, Word, Excel—pivot tables, VLOOKUP).
- Typed accuracy of 55 wpm or higher.
- Fluent verbal and written communication with professional email etiquette.
- Demonstrated multitasking talent; you switch between tasks without losing detail.
- Legal authorization to work in the United States.
Preferred Skills
- Familiarity with collaboration suites such as Google Workspace, Slack, or Microsoft Teams.
- Exposure to project management software (Asana, Trello, Jira).
- Intermediate knowledge of data-visualization tools (Power BI or Tableau).
- Experience supporting dispersed or hybrid teams.
- Basic understanding of privacy regulations (HIPAA, FERPA, or GDPR equivalents).
