Your Impact  

You will become the nerve center of the office. By orchestrating calendars, triaging inquiries, and curating documentation, you ensure colleagues stay focused on complex initiatives instead of logistics.  


Daily Responsibilities  

- Manage multi-executive calendars, schedule meetings, and reserve conference spaces or virtual rooms via Zoom and Google Workspace.  

- Own reception duties—answer calls, greet visitors, route questions, and resolve issues promptly.  

- Perform accurate data entry into spreadsheets, CRMs, and internal dashboards.  

- Draft, proofread, and distribute correspondence, reports, and presentations.  

- Track, order, and reconcile office supplies; maintain vendor relationships.  

- Digitize and organize physical and cloud-based filing systems for quick retrieval.  

- Coordinate travel arrangements, expense reports, and mileage logs.  

- Support onboarding by provisioning badges, hardware, and orientation packets.  

- Partner with IT to troubleshoot basic workstation or network concerns.  

- Contribute to ad-hoc projects ranging from event planning to process documentation.  


Required Skills  

- Bachelor’s degree in Business, Information Systems, or related field.  

- Proficiency with Microsoft Office 365 (Excel formulas, Word templates, Outlook rules).  

- Experience using Google Workspace, Slack, and Zoom.  

- 40+ WPM typing speed and meticulous data entry accuracy.  

- Polished written and verbal communication; customer-centric mindset.  

- Proven ability to prioritize multiple deadlines and adapt to sudden changes.  

- Keen attention to detail—spot inconsistencies before they become problems.  

- Eligibility to work in the United States without sponsorship.  


Preferred Extras  

- Familiarity with project-management tools (Trello, Asana, or Monday.com).  

- Exposure to basic bookkeeping or invoice reconciliation in QuickBooks.  

- Understanding of information security best practices for confidential documents.  

- Previous experience in a hybrid or fully remote environment.
