A compact, cross-functional operations unit backs several software engineering groups and client-facing departments. The culture prizes initiative, precision, and clear communication. You’ll collaborate with project managers, analysts, designers, and support specialists—often virtually—to ensure every stakeholder is in the right place at the right time.


What You’ll Do  

- Schedule virtual and on-site meetings across multiple time zones, aligning with agile sprint cadences and release milestones.  

- Reserve conference rooms, video platforms, and collaboration tools—anticipating equipment, access, and bandwidth needs.  

- Prepare and distribute agendas, slide decks, sprint boards, and background briefs before each session.  

- Send timely invitations, confirmations, and reminders while maintaining an error-free master calendar.  

- Capture attendance data, action items, and key decisions; track follow-ups in the team’s project management system.  

- Maintain a repository of meeting artifacts for auditability and knowledge transfer.  

- Partner with executives and junior engineers alike—fielding inquiries, resolving scheduling conflicts, and escalating urgent issues.  

- Analyze recurring meeting metrics to streamline cadence, reduce idle time, and raise overall productivity.  

- Support ad-hoc events such as hackathons, town halls, and client demos, coordinating logistics end-to-end.  


What You Bring  

- Bachelor’s degree in Business Administration, Information Systems, Communications, or related field.  

- 0–2 years of experience in office coordination, project support, or customer service. Internships count.  

- Fluency with Microsoft 365—Outlook, Excel, Word, PowerPoint—and familiarity with Google Workspace.  

- Working knowledge of Zoom, Microsoft Teams, Slack, and modern project trackers (Jira, Asana, Trello).  

- Stellar time management: you juggle overlapping calendars without missing a beat.  

- Sharp written and verbal communication; you tailor tone to engineers, executives, and external partners.  

- Analytical mindset and curiosity—comfortable spotting patterns in scheduling data and suggesting improvements.  

- Adaptability in a hybrid or fully remote environment; you thrive amid shifting priorities.  

- Problem-solving orientation and customer-centric attitude, reinforced by meticulous attention to detail.
