What You Will Do
- Execute the systematic classification, storage, and retrieval of both digital and physical documents to ensure rapid access and accuracy.
- Perform precise and timely data entry into various company databases and our primary document management system (DMS).
- Drive digital conversion initiatives by scanning, indexing, and verifying paper records to bolster our electronic archives and support our paperless goals.
- Maintain the filing system’s integrity—both physical and electronic—by conducting regular audits and updates.
- Assist team members by promptly locating and providing requested files and information, serving as a key resource for data inquiries.
- Uphold strict confidentiality protocols when handling sensitive information, ensuring compliance with company and industry regulations.
- Support administrative staff with various projects, contributing to overall office organization and workflow optimization.
- Track the location of all files using our logging system to prevent loss and ensure accountability for all company records.
What You Bring
- An exceptional eye for detail and a methodical approach to organization and data management.
- An Associate’s or Bachelor’s degree is preferred; degrees in Information Systems, Business Administration, or a related field are a significant plus.
- High proficiency with the Microsoft Office Suite (Word, Excel, Outlook) and a strong aptitude for learning new software, including proprietary document management systems.
- Superb written and verbal communication skills, enabling you to interact clearly and professionally with colleagues across all departments.
- A proactive and adaptable mindset, with the ability to manage multiple tasks and shifting priorities in a dynamic environment.
