Role Overview
You will partner with professors, researchers, and department managers to keep teaching and scholarship running smoothly—whether classes meet on campus or online. Expect fast context switches, meticulous data handling, and plenty of opportunities to streamline processes.
Key Responsibilities
- Maintain complex faculty calendars, prioritize meetings, and troubleshoot last-minute changes.
- Coordinate small- to mid-scale academic events, seminars, and virtual workshops from concept to post-mortem.
- Organize digital and physical files—syllabi, research articles, grant documents—for rapid retrieval.
- Enter grades, attendance figures, and survey data into student information systems with 100 % accuracy.
- Draft and proofread correspondence, presentation decks, and learning materials.
- Answer calls, route inquiries, and deliver prompt, courteous stakeholder support.
- Gather literature reviews, citations, and statistical references to accelerate ongoing research.
- Liaise with procurement and IT to secure supplies, software licenses, and A/V setups.
- Monitor task backlogs in collaborative tools, flagging blockers and suggesting process tweaks.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Information Management, or related field.
- 0-2 years of administrative experience (internships count).
- Proficiency with Microsoft 365, Google Workspace, and at least one project-tracking platform (e.g., Trello, Asana, Jira).
- Confident data entry—50+ WPM and advanced Excel functions (VLOOKUP, PivotTables).
- Sharp written and verbal communication; you transform academic jargon into clear action items.
- Eagle-eye attention to detail and the stamina to juggle simultaneous deadlines.
- Ability to work independently in a remote or hybrid setting and collaborate across time zones.
Preferred Extras
- Familiarity with learning-management systems (Canvas, Blackboard) or student information systems (Banner, PeopleSoft).
- Basic statistical literacy (SPSS, R, or Python pandas).
