You will collaborate with producers, marketers, designers, and data analysts to deliver memorable experiences that amplify brand narratives.


Core Responsibilities  

– Schedule and confirm venues, virtual platforms, and vendor services.  

– Coordinate audio-visual, catering, security, and technology logistics.  

– Manage attendee databases: import lists, verify registrations, and flag duplicates.  

– Produce run-of-show documents, setup diagrams, and inventory checklists.  

– Update budget trackers and reconcile post-event invoices.  

– Collect feedback surveys, compile KPIs, and draft performance snapshots.  

– Maintain organized digital archives for contracts, permits, and creative assets.  

– Support senior planners during live events by monitoring timelines and resolving on-the-spot issues.  

– Serve as a friendly, prompt point of contact for speakers, sponsors, and guests.  

– Contribute fresh ideas during brainstorming sessions that elevate attendee engagement.


Required Skills & Qualifications  

– Bachelor’s degree in Event Management, Business Administration, Marketing, or related field.  

– 0-2 years of internship or project experience in event coordination or administrative support.  

– Proficiency with Microsoft Excel, Word, PowerPoint, and SharePoint; ability to learn CRM or event software quickly.  

– Exceptional verbal and written communication tailored to diverse stakeholders.  

– Proven time-management and multitasking ability in deadline-intensive settings.  

– Keen attention to detail, especially when tracking budgets and schedules.  

– Customer-service orientation with a calm demeanor under pressure.  

– Legal authorization to work in the United States.


Preferred Extras  

– Familiarity with Zoom Events, Hopin, Cvent, or similar platforms.  

– Basic data-visualization skills in Tableau or Power BI.  

– Exposure to ADA compliance and safety regulations for large gatherings.  

– Comfort supporting events across U.S. time zones in a remote-first team.
