Junior Administrative Services Assistant

What You’ll Do
- Manage calendars, coordinate meetings, and arrange virtual or on-site events with zero scheduling conflicts.
- Process incoming and outgoing correspondence - email, physical mail, and instant messages - within established service-level targets.
- Perform data entry, verification, and light analysis in spreadsheets and databases, maintaining 99.9 % accuracy.
- Maintain digital and physical filing systems, applying uniform naming conventions for effortless retrieval.
- Track and replenish office and remote-work supplies, negotiating cost-effective orders when needed.
- Draft clear memos, reports, and slide decks that translate complex input into polished business documentation.
- Answer inbound calls and route queries to the right stakeholder in under two minutes.
- Provide day-to-day logistical support to teams across finance, HR, marketing, and product.
- Contribute process-improvement ideas and assist with ad-hoc projects, audits, or research.
Must-Haves
- Bachelor’s degree in Business Administration, Communications, or related field.
- Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams) and Google Workspace.
- Typing speed of at least 50 wpm with high accuracy.
- Demonstrated time-management and multitasking capability in fast-paced settings.
- Strong written and verbal communication - clear, concise, audience-aware.
- Detail orientation and discretion when handling confidential information.
- Eligibility to work in the United States.
Nice-to-Haves
