About the role
You will serve as the connective tissue between engineering, finance, and HR teams. Expect to manage calendars, route information, and keep records impeccably organized—so projects stay on schedule and stakeholders stay informed.
Key responsibilities
- Facilitate cross-department communication and swiftly relay critical updates.
- Schedule meetings, virtual stand-ups, and executive briefings—juggling multiple time zones seamlessly.
- Perform accurate data entry into ERP, CRM, and cloud spreadsheets; validate for consistency.
- Maintain digital and physical filing systems, ensuring audit-ready documentation.
- Draft, proofread, and distribute correspondence, memos, and status reports.
- Track action items, flag blockers, and follow up until resolution.
- Support onboarding logistics for new hires (equipment requests, account setup).
- Triage daily inquiries from internal and external partners, elevating urgent issues.
- Coordinate travel itineraries and event logistics when on-site activities arise.
- Contribute to process-improvement initiatives that boost operational efficiency.
Your skill set
- Bachelor’s degree in Business Administration, Information Systems, or related field.
- 0–2 years’ experience in an administrative, project coordination, or help desk role.
- Command of Microsoft 365 (Word, Excel, Outlook, Teams) and Google Workspace.
- Foundational knowledge of data management tools (Airtable, Smartsheet, or similar).
- Outstanding written and verbal communication; you tailor tone to audience.
- Keen attention to detail—spot inconsistencies before they escalate.
- Time-management prowess; you thrive amid competing priorities.
- Collaborative approach and customer-centric mindset.
- Comfort working independently in a remote environment; reliable broadband and quiet workspace.
- U.S. work authorization required.
