Key Responsibilities  

- Input, audit, and update records in Excel, Google Sheets, and internal CRMs to ensure data integrity.  

- Schedule meetings across multiple time zones, prepare Zoom links, and coordinate room resources when on-site.  

- Answer and route inbound calls; craft concise follow-up notes in Slack and Microsoft Teams.  

- File digital and physical documents, applying consistent naming conventions for rapid retrieval.  

- Draft clear email responses, templates, and status reports that reflect brand tone.  

- Maintain executive calendars, flagging conflicts and proposing solutions proactively.  

- Support ad-hoc projects—expense reconciliation, simple research, slide formatting—under tight deadlines.  

- Champion confidentiality standards while handling employee and client information.  


What You Will Learn  

- End-to-end office workflow design (from intake to archival).  

- Best-practice keyboard shortcuts, formulas, and macros that cut data entry time in half.  

- Triaging competing priorities using Eisenhower Matrix and Kanban boards.  

- Professional communication frameworks (STAR, SBAR) for crisp updates.  

- Cloud collaboration platforms—Notion, SharePoint, Dropbox—essential for distributed teams.  


Must-Have Qualifications  

- Bachelor’s degree (any discipline) or current enrollment with at least junior standing.  

- 35+ WPM typing speed and solid command of English grammar.  

- Familiarity with Microsoft Office 365, Google Workspace, and basic Zoom functions.  

- Proven organizational skills—color-coded planners, digital task lists, or equivalent.  

- Eagerness to ask clarifying questions and absorb feedback.  


Nice-to-Have Extras  

- Experience with ticketing tools (Jira, Zendesk) or CRM software (Salesforce, HubSpot).  

- Prior customer service, retail, or campus leadership role.
